Warranty Specialist - Dayton

Job Purpose

We are currently seeking a Warranty Specialist at our Dayton plant location and is responsible for the end-to-end management of product warranty claims. This includes evaluating claims, troubleshooting failures through quality testing, coordinating with internal departments, and ensuring accurate and timely processing to obtain appropriate credits. This role requires strong mechanical aptitude, a hands-on problem-solving approach, and experience with SAP and customer service. We are highly interested in recruiting a high energy individual with experience relating to greasing systems.

 

Essential Responsibilities:

Warranty Claims & Troubleshooting:

  • Receive, review, and process warranty claims from customers and service teams.
  • Conduct root cause analysis through hands-on product inspection and testing to determine failure points.
  • Collaborate with Quality and Engineering to validate failures and ensure accurate diagnoses.
  • Document test results and analysis to support claims and negotiate credits with suppliers if applicable.

Mechanical & Technical Assessment:

  • Perform bench testing, disassembly, and visual/mechanical inspections of failed components.
  • Identify mechanical issues such as wear, improper installation, or material defects.
  • Work closely with field service technicians to replicate and verify reported issues.

Data Management & Reporting:

  • Use Microsoft Excel to track claim data, cost analysis, trends, and recovery opportunities.
  • Generate reports on warranty claim volumes, common failure types, and performance metrics.
  • Maintain detailed records in SAP and warranty management systems.

Customer & Dealer Support:

  • Serve as a primary point of contact for warranty-related inquiries.
  • Guide customers and distributors through the claim process and ensure timely communication.
  • Manage return materials and coordinate processing.

Continuous Improvement & Compliance:

  • Identify patterns and recommend improvements to reduce product failures and warranty exposure.
  • Ensure claims are processed in accordance with company policies and industry standards.
  • Assist in refining warranty policies and standard operating procedures.

Qualifications & Experience

  • High School diploma or GED required, associate degree or technical certification preferred
  • Mechanical aptitude with hands-on experience in troubleshooting mechanical systems.
  • Proficient in the use of computers and Microsoft office products (excel, data analysis etc.)
  • Experience with SAP preferred
  • Strong customer service and communication skills (verbal and written) required
  • Detail oriented with strong organizational and documentation skills
  • Experience in industrial equipment, mobile machinery or lubrications systems as asset
