Job Title: Shipping Coordinator

Overall Purpose: The Shipping Coordinator coordinates and executes shipping activities to ensure customer orders are processed accurately, shipped on time, and properly documented within SAP. The role connects production, customer service, warehousing, transportation providers, and finance to support inventory accuracy, shipment visibility, and customer satisfaction. The position uses SAP to process outbound deliveries, goods movements, billing-related transactions, and shipping documentation while supporting company procedures, customer requirements, and applicable regulatory standards.

Primary Responsibilities:

1. Process and coordinate outbound shipments to customers, distribution centers, and intercompany locations.
2. Verify shipment quantities, packaging, labeling, and documentation for accuracy.
3. Create and process bills of lading, packing slips, export documentation, commercial invoices, and carrier shipping documents.
4. Schedule and coordinate outbound transportation with approved carriers and logistics providers.
5. Monitor daily shipments and proactively address potential delivery delays.
6. Execute and maintain shipping transactions within SAP.
7. Create and process outbound deliveries, post goods issue transactions, stock transfers, shipping confirmations, and billing-related transactions.
8. Ensure shipping, inventory, and logistics transactions are completed accurately and on time.
9. Research and resolve SAP shipping errors, delivery blocks, and inventory discrepancies.
10. Serve as a point of contact for shipment status and delivery updates.
11. Communicate shipping delays, shortages, and transportation issues to internal stakeholders and customers.
12. Coordinate with customer service, production planning, materials management, warehouse operations, transportation providers, quality, and finance.
13. Participate in cycle counts, physical inventories, stock reconciliations, and inventory audits.
14. Support domestic and international shipping requirements, including Incoterms and export documentation.
15. Identify opportunities to improve shipping efficiency, transportation cost, and delivery performance.
16. Develop and maintain standard work instructions and support KPI reporting for on-time delivery, shipping accuracy, freight cost, and inventory accuracy.
17. Perform other duties and responsibilities as assigned.

Physical Demands & Frequency:

1. Ability to work in a warehouse and manufacturing environment.
2. Ability to lift up to 50 pounds occasionally.
3. Frequent walking, standing, reaching, handling, and computer use.
4. Must be able to work weekends and overtime as business needs require.
5. Forklift certification preferred or ability to obtain certification.

General Educational Development: High school diploma or GED required. An associate or bachelor’s degree in supply chain, logistics, business, or a related field is preferred. Must be able to solve practical problems, interpret written and verbal instructions, use business software effectively, and perform the math required for accurate shipment and inventory processing.

Qualifications/Training: Three or more years of experience in shipping, logistics, warehousing, transportation, or supply chain operations is preferred. Experience with SAP ERP is required; manufacturing or distribution experience is preferred. Advanced knowledge of SAP SD, MM, and Logistics Execution is desirable. Knowledge of delivery processing, goods issue transactions, inventory management, invoicing, billing, freight forwarding, carrier operations, Incoterms, domestic and international shipping requirements is preferred. Proficiency with Microsoft Excel, Outlook, and Teams is expected. Candidate shall successfully complete required training and qualification requirements as defined by the functional manager responsible.

Temperaments: Must be able to manage changing priorities, perform a variety of duties without loss of efficiency, make sound decisions, and consistently meet defined accuracy and service standards.

Performance Measures: On-Time Delivery (OTD), shipping accuracy, inventory transaction accuracy, SAP data accuracy, freight cost performance, customer delivery performance, cycle count accuracy, and export compliance adherence.

Environmental Conditions: Warehouse and manufacturing conditions may include frequent impact noise and seasonal changes in temperature.

Protective Clothing and Personal Devices: Safety glasses, safety shoes, gloves, and other personal protective equipment required by site rules or assigned tasks.
