SENIOR PAYROLL SPECIALIST

 

As a Senior Payroll Specialist, you will play a crucial role in ensuring the accurate and timely processing of payroll for our organization. This role requires a deep understanding of Canadian payroll regulations and a high level of attention to detail. The successful candidate will be responsible for managing end-to-end payroll processes, addressing payroll-related inquiries, and collaborating with cross-functional teams to ensure compliance with all relevant regulations.

 

RESPONSIBILITIES

 

Payroll Processing:

- Process and manage full cycle payroll for all Canadian entities and Groeneveld US, bi-weekly ensuring calculations & payments are correct and document when necessary according to federal and provincial regulations

- Setup/terminate employees in Ceridian Dayforce, process required documentation (TD1's, W4's, T4s, W2s, ROEs) and communicate system upgrades/outages/logins to relevant employee groups

- Oversee the full year-end process, including filing returns with regulatory bodies and conducting reconciliations

Compliance and Legislation:

- Keep up to date on ESA standards specifically with regards to Canadian payroll legislation and regulations, and communicate updates and knowledge to human resources department

- Ensure compliance with all statutory requirements related to payroll and taxation.

Benefits Administration and Workers Comp:

- Administer employee benefits, including deductions, enrollments, and reconciliations.

- Collaborate with HR to ensure accurate and timely processing of employee benefits.

- Manage worker's compensation administration, claims and remittances in North America

Reporting:

- Review and enter timesheet data for required employees, including the cost-centres, date of hiring and all required data for each payroll cycle

- Generate and analyze payroll reports to ensure accuracy and identify discrepancies.

- Prepare and submit required government reports, such as ROEs and T4s.

- Prepare ad-hoc and compliance reports for business units, and functional areas

Internal Collaboration:

- Work closely with the finance team to reconcile payroll-related accounts.

- Collaborate with HR and other departments to address payroll-related inquiries and discrepancies.

Process Improvement:

- Identify opportunities for process improvement and efficiency in payroll operations.

- Implement best practices and streamline payroll processes where possible.

- Support human resources department as needed, and collaborate work as needed

Continuous Improvement:

- Lead and/or participate in continuous improvement projects

- Facilitate and manage new pay group implementation projects (acquisitions)

- Serve as the subject matter expert for internal and external stakeholders, offering technical expertise and advice on payroll matters

 

SKILLS

 

  • Bachelor's degree in Finance, Accounting, or a related field.
  • Canadian Payroll Association (CPA) certification is highly desirable.
  • Minimum of 7 years of experience in payroll processing, with a focus on Canadian payroll.
  • 3+ years of supervisory experience preferred
  • Thorough understanding of federal and provincial payroll regulations.
  • Proficiency in payroll software (Ceridian Dayforce and Kronos systems is an asset).
  • Proficiency in Excel (v-look up, pivot tables and advanced filters)
  • SAP knowledge/experience strongly preferred
  • Attention to detail and accurate data entry skills
  • Strong aptitude for troubleshooting and sourcing information
  • Excellent written and verbal communication skills
  • Friendly, affable nature with the ability to get along with many different personalities
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Bilingualism in French/English is an asset
